Booking Coordinator
Saanich Historical Artifacts Society (SHAS) is a charitable organization whose volunteers operate Heritage Acres in Saanichton, BC. Heritage Acres is operated by volunteers, and provides a venue for weddings, private corporation picnics, film production, community events and many other types of events. This job requires someone who is outgoing, calm under pressure, balanced in their interactions with people, and organized. On the job training will be provided.
Main Duties
Respond to telephone, in person or electronic enquiries regarding booking of events
Maintain shared calendar of events
Meet with event organizers to discuss event requirements
Complete pro forma agreements covering documentation of events
Coordinate volunteers for SHAS sponsored events
Ensure site is prepared and ready for events
Coordinate service providers (musicians, first aid attendant, etc.) for events
Prepare advertising material to publicize events
Plan entertainment and social gatherings for volunteers
Ensure compliance with required by-laws
Prepare post-event reports
Coordinate accounting activities with Office Administrator
Assist Board of Directors as and when necessary
Report to President
Employment Requirements
Knowledge and mastery of Microsoft Office and Adobe Acrobat Pro are required
Several years of experience in hospitality are helpful
Excellent written and verbal communication skills, adaptable to diverse audiences
Ability to work independently
Valid driver’s license and access to a vehicle
Job Type
Part time Wednesday through Saturday, 9 a.m. to noon, with occasional meetings with clients in the afternoon
Pay is $25.00 per hour as an independent contractor
